Complete this before every client touch base call. Review the client's recent activity, communications, results, and previous commitments so you are prepared to lead the conversation with a clear understanding of what has happened, what we are learning, and what should happen next. This should not take long, but your answers should be specific to this client and their search this week.
This loads automatically once your name and the client name are both filled in. You can also tap the button to reload it.

1What has happened since the last touch base?*

Summarize the most important activity, results, and developments since your last call. Include specific wins, responses, interviews, referrals, networking conversations, promising opportunities, or other meaningful progress. Also consider the priorities and commitments from the previous touch base, what was accomplished, and is anything still outstanding.

2What are you learning from the client's recent activity and results?*

Based on applications, direct and indirect networking, responses, interviews, market feedback, and other activity, what appears to be working well? Is anything showing signs that it may not be working as well as expected? Do not simply report activity, explain what the activity and results are telling you about the search.

3Is there anything the client previously asked for, expressed concern about, or was told we would do that needs to be followed up on during this call?*

Think back to previous touch bases, portal conversations, emails, and other communications. We want clients to feel heard and know that we remember what matters to them. If there is nothing outstanding, enter "None."

4Based on what you are seeing, what are your most important priorities for this client's search over the next 7 days?*

Consider what should be continued, increased, reduced, tested, or adjusted based on the client's recent activity and results. This could include target roles, industries, company types, target companies, compensation, geography, positioning, application strategy, direct or indirect networking, outreach strategy, or follow up activity. If you believe the current strategy should remain unchanged, that is completely acceptable, explain what you plan to prioritize and why.

5What's the one thing you most need to say to, or hear from, the client on this call?*

This is the actual conversation, not your internal strategy from question 4. It could be an update the client needs to hear, a recommendation, an expectation to set, or something you need their input or decision on. If nothing significant needs to be raised this week, enter "None."

Complete this before the client's monthly strategy review. Review the last 30 days of activity and results across applications, networking, interviews, and active opportunities before answering.

1What does the last 30 days of data tell you about this search?*

Identify the most important trends in applications, networking, responses, interviews, and active opportunities. Do not simply restate the numbers, explain what you believe they mean.

2What is working best?*

Identify the strategies, roles, industries, companies, outreach methods, messaging, or positioning producing the strongest results.

3What is underperforming?*

Identify anything producing weaker than expected results and your assessment of why.

4How well aligned is our current targeting with the client's goals and market reality?*

Consider title, seniority, compensation, geography, remote requirements, industry, company size, search volume, and the client's competitiveness for the opportunities being targeted.

🟢Well aligned
🟡Some adjustment
🔴Material changes

5What strategy changes do you recommend for the next 30 days?*

Examples: broaden or narrow title level, add adjacent industries, reduce compensation floor, target smaller companies, increase recruiter networking, change outreach messaging, add search firms, adjust positioning, expand geography, increase indirect networking.

6What are the client's strongest current opportunities?*

Identify the top 3 to 5 active opportunities or conversations and their current status. The first 3 are required, the last 2 are optional.

7What concerns or risks need to be addressed?*

Check every concern that applies. This can include search risk and relationship risk. If none apply, use the box at the bottom to explain, or write "None."

8What is the plan for the next 30 days?*

Identify the primary strategic priorities for the client's next month of service. Priorities 1, 2, and 3 are required. Add more if needed.

Complete this during the call as you go, not after. Following along in real time helps you ask the right questions and capture answers accurately. Each colored section below is one phase of the call, talking points first, then anything to record for that phase.

Jot anything you want to remember for next time, updates on the client's life, preferences, or other details that help with the relationship. This is just for your own reference and is not reviewed as part of the required notes.

This loads automatically once your name and the client name are both filled in. Use it to check that you're covering what you planned to during the pre call prep.
1📞 Set The Agenda
1 to 2 min

Start every call by telling the client what you'll cover, so it's clear this isn't just a casual check in.

"I'd like to spend the first half walking you through what we worked on this week, what's currently in progress, and what we'll be focused on next. Then I want to spend the second half getting your feedback on how you feel the search is going and anything you'd like us to adjust."
2📋 Show The Work & Pipeline
10 to 15 min

Share your screen and open the Activity Log rather than just describing it.

Walk through three things:

  • What you accomplished this week
  • What's currently in the pipeline, especially outreach that has started but hasn't finished its sequence
  • What's coming next

This helps the client see the search as a continuing pipeline, not isolated weekly activity.

3💬 Collect Client Feedback
10 to 15 min

Shift the conversation from reporting to listening. Ask each question below and capture the client's response.

Yes
No

Check the Saved Search page first to make sure the keyword or change is not already there. For negative keywords, explain why.

This is separate from the satisfaction score and sentiment. A client can seem positive overall and still raise real concerns, like a lack of jobs or low quality contacts, that are worth a strategic pivot and a second set of eyes before you act on them.

Yes
No
4🚦 Identify Risk

Based on this conversation, is this client Green, Yellow, or Red? This is one of your primary client health checkpoints, it gives management a chance to step in weeks before renewal instead of finding out at the last minute.

🟢Positive
🟡Some concerns
🔴At risk
5⚠ Don't Solve Everything Live
2 to 3 min

If a meaningful concern comes up, your job right now is to understand and document it, not defend the service or promise a fix on the spot.

"That's helpful feedback. Rather than giving you a quick answer right now, I'd like to take a deeper look and connect with my manager if needed. We'll follow up with our thoughts within 1 to 2 business days."

This could include a client concern, service issue, unusual request, potential cancellation or non renewal, strategy question, positive feedback, escalation, or anything else where additional awareness or support would be helpful.

Yes
No
6✅ Confirm Action Items & Close
2 min

Before ending, summarize what happens next so the client leaves knowing what's coming and who owns it.

"Based on today's conversation, I'm going to look into X and Y. We'll continue working on A and B this week, and I'll follow up with you regarding Z."

Enter each commitment as an action, an owner, and a due date. Commitments 1 and 2 are required. Tap a commitment header to open or close it. If there are no commitments this call, check the box below instead.

Commitment 1*
Commitment 2*

This is about direction, not tasks. Think about what to watch for, adjust, or keep pushing on, not the discrete action items you already listed above. Priorities 1 and 2 are required. Add more if needed.

Keep this shorter than the pre call preparation. Capture only what was agreed and decided.

1What new information did we learn?*

2What strategy changes were agreed upon?*

3What commitments were made?*

Enter each commitment as an action, an owner, and a due date. Commitments 1 and 2 are required. Tap a commitment header to open or close it. If there are no commitments this cycle, check the box below instead.
